Facility Rental Terms & Conditions

1. General Provisions

1.1 The Renter and any guests of the Club shall behave in a responsible manner.

1.2 No person under the age of 18 shall rent the facility or be the signing authority.

1.3 In accordance with the Smoke-Free Ontario Act, 2017, the Renter acknowledges that smoking is not permitted in any part of the Club. This prohibition includes the smoking of cannabis and vaping.

1.4 The Club has the right to manage and restrict use of the facility at its discretion. Limitations on use of the facility will be for reasons of priority of use or safety and security of persons and the facility, or to comply with Club policies.

1.5 Use of the facility does not imply endorsement by the Club of any activity, service, belief, organization or product.

1.6 The Renter must conform to the capacity limits of the facility as shown in Appendix A.

1.7 Pets are not permitted in the facility with the exception of service animals. Service animals will not be permitted in the immediate area where food is being prepared.

1.8 The Renter and any guests are only granted access for the area which has been rented.

2. Fees and Payment

2.1 The Renter agrees to pay all Rental Fees in accordance with the fee structure set out in appendix A. All fees are payable to the “Keewatin Curling Club” and can be paid by interac, credit, cash, cheque, or electronic money transfer.

2.2 Provisional bookings will require a payment of the damage deposit when submitting a Rental Request. Failure to submit the damage deposit shall be considered an incomplete application and the booking will not be accepted by the Club.

2.3 The balance of the rental fee must be paid at the commencement of the event or before.

3. Damages

3.1 The Renter agrees to compensate the Club for any damage or loss to property or equipment contained within the facility, which damage or loss arises out of the Renter’s use of the facility.

3.2 The damage deposit will be refunded following the event and barring any damage to the facility, or in the event of a cancellation.

3.3 The Renter shall assume full responsibility for their guests in case of injury, damage, theft, or disturbances during the booking.

3.4 The Club will not be responsible for damages, loss or theft of clothing, equipment or personal items of the Renter or any guests. Please secure all valuables.

3.5 Signs, posters, or other decorations may only be affixed to the walls with masking tape or painters tape. Any damage caused by the use of unapproved products will be charged back to the Renter.

4. Set Up and Take Down

4.1 All existing fixtures, furniture and equipment within the Curling Club are the property of the Club. By no means may any fixture or piece of furniture be removed by the Renter or any guests before, during, or after the event.

4.2 The Renter will be responsible for setting up and configuring the space to fit their event.

4.3 Tear down must take place immediately following the event and all items removed from the building immediately, unless other arrangements have been approved in advance by the Club. Tables and chairs should be returned to their original placement at the end of the event.

4.4 The Renter is responsible for ensuring that all fire exits and fire routes are kept clear at all times.

5. Ice Surface

5.1 Children under the age of 10 must be accompanied by a parent or legal guardian. Helmets are mandatory for anyone under the age of 14.

5.2 The Renter is responsible for ensuring that guests have reviewed the Club’s Concussion Protocol prior to using the ice surface.

5.3 No food is to be taken onto the ice surface.

5.4 Beverages may be taken onto the ice surface if in a plastic cup. Beverages must remain on the tables in the carpeted area of the ice surface.

5.5 The Club will be responsible for ensuring that the ice surface is prepped prior to the rental.

6. Alcohol

6.1 Alcoholic beverages must be supplied and served exclusively by the Club. The Renter and any guests will not be permitted to bring any alcohol into the facility.

6.2 No one under the age of 19 will be served an alcoholic beverage. The Club bartender reserves the right to request identification from any guests.

6.3 The Club bartender reserves the right to refuse to serve alcohol to anyone who appears to be intoxicated. The Club bartender is also authorized to remove drunk and disorderly guests from the premises.

6.4 The Renter is responsible for securing and providing designated drivers.

6.5 Alcoholic beverages will stop being served at 1:00am, and the facility must be vacated by 1:45am.

7. Food Services

7.1 Bookings that include food services must give first option to the Club’s Kitchen Contract. If the Club’s Kitchen Contract is not available or cannot accept the booking, the Renter may secure the services of other off site food vendors.

7.2 In the event that the Renter secures the services of another food vendor, any requests for kitchen items or supplies is to be included in the Rental Request Form and will be considered on a case-by-case basis.

7.3 The Club is not liable for caterer’s pricing, service, conduct or product.

8. Cancellations

8.1 If the Renter cancels an event more than 5 days prior to the event, the Club will refund the Renter the full amount of the damage deposit.

8.2 For cancellations with 5 days or less notice prior to scheduled events, the Club will not refund the damage deposit.

8.3 The Club may cancel an event if the facility has become unsafe or unsuitable for use due to natural disasters or conditions beyond our control. In such situations, at the Renter’s option, the event may be rescheduled on a mutually agreeable date. If a date cannot be established or if the Renter ops not to reschedule, the Club will refund all payments received.

8.4 The Renter acknowledges that cancellation by the Club for reason of breach of any of the provisions in these terms and conditions by the Renter or any guests, or persons in attendance associated with the event, may result in expulsion or eviction from the premises, at the discretion of the Club, and all fees and deposits shall be forfeited by the Renter.
